Updating and Deleting Rate Matrices

Users with permission can delete a rate matrix if it is not active or not been actively used by a Job or an Assignment. Select the relevant matrix and use the ‘Delete Rate Matrix’ button. A warning message will appear before deletion.

Rates can only be updated from the Rate Matrix page in the Rate record or the Rates page in the Framework record. Select the relevant matrix and use the ’Add/Update Rates’ button.

Note: Amending rates can also be done from the Job or Assignment so long as the rate matrix is not linked to a framework. Then you will get the following message:

Setting a Rate Uplift

Users can now uplift a current rate matrix or all current rates by using the ‘Uplift Rates’ button. For example, the Agency has decided all their Bookkeepers should earn £1 more an hour effective from the 1st January. Select the Rate and the ‘Uplift Rates’ button. Add in the 1.00 in the hour field and input the new effective date:

Rates can be uplifted by a percentage, per hour or manually overtyped. 

As this is in the future, it will set an end date to the current rate matrix and a new rate matrix will be created in the future rates section with a new effective start date. This will be used for future assignments, shifts and jobs (after the 1st January) to determine applicable rates:

Note: Uplift Rates can be run from Frameworks, Temporary Shift Jobs and Temporary Shift Assignments. It is only possible to uplift rates for future or current Jobs and Assignments. 

Viewing Past and Future rates

Scroll down the Rates page in the Framework record to see all Future (start date in the future) rate matrices. Users can set up future rates at any point and they will become current rates when the start date is reached.

The rates are sorted by Job Category then grouped by Rate Category. The rates can be reformatted and filtered by using the formatter tool. Columns can be sorted into alphabetical or date order by clicking on column headers. Users can select, add, update and delete future rates.

The last section on the framework rates page shows Past Rates. This will display all Past (End date in the past) rate matrixes. The rates are sorted by Job Category then grouped by Rate Category. The rates can be reformatted and filtered by using the formatter tool. Columns can be sorted into alphabetical or date order by clicking on column headers.

Defining Permissions for adding Rates 

To control access to rate changes within an organisation, Adapt enables Rate Permissions to be set for individual users, teams or offices.

There is a new permissions page available within the Office, Team and Employee records in the administrator profile. This allows admin users to manage which users, teams and offices have permission to add or change rates. By default, all users will not be allowed to modify rates. 

In this example, Employee Jackie Read is granted permission to add or update rates. Within Edit, select ‘Rates’ from the Permissions list and save:

Note: The system will look at the hierarchy of permissions starting with Employee.

If permission is set at Office level, then all teams in that Office will inherit permission. If it is set at Team level, all users belonging to that Team will inherit permission. If permission is only granted at Employee level, then only those Employees with permission can change rates.

Bank Holiday Planner

Some organisations need to pay different rates for Temps on Bank Holidays. To enable Adapt to identify Bank Holidays, a Bank Holiday planner page has been added to Application Settings in the Administrator profile. 

It is automatically set up for the UK, but non-UK Bank Holidays can be added manually using the ‘Add/Update Bank Holidays’ button:

Subsequently, if you book or create shifts which cover Bank Holidays, the system will look at the Bank Holiday planner. If a shift covers a Bank Holiday and a Bank Holiday rate has been set up (using the Day of ‘Bank Holiday’) it will apply that rate for that day. If no rate type of ‘Bank Holiday’ has been set up, then the system will ignore the Bank Holiday and just apply the relevant rate.

Note: This only needs to be set up if Bank Holiday rates are applicable.
