Setting the Adapt 'On Behalf Of' activity attribution default

Setting the 'On Behalf Of' activity attribution to Owning Consultant or current logged in user. Assign Tasks to On Behalf of users.

Adapt currently assigns activity data to the logged in user and the On Behalf Of field is populated with the logged in user's name by default to maintain this.

However, Adapt Clients now have the option to assign activity data to either the logged in user or the Owning Consultant (of the record). The default population of the On Behalf Of field throughout Adapt can be set accordingly.

To determine this, a setting has been introduced in the Administrator Profile (on the Default Settings page) called Default the attribution of Activity to Owner where appropriate.

  • If set to No (default), the current logged in user will be automatically populated in the 'On Behalf Of' field and the activity attributed to them.

  • If set to Yes, the Owning Consultant will be automatically populated in the 'On Behalf Of' field and the activity attributed to them.

IMPORTANT NOTE: Clients wanting to change this setting will need to contact their Bullhorn Adapt representative to do this for them. The Administrator Profile is not available to most Adapt Users.

How will this work in Adapt?

In this example, the field default is set to Yes (Owning Consultant is defaulted) and the user is running the activity Send CV from Job Retail Manager. The 'Send CV' On Behalf Of field has been defaulted to lpeskett who is the Owning Consultant of the Job:

If the field default is subsequently changed No (current logged in User is defaulted) and the user is again running the activity Send CV from Job Retail Manager. The 'Send CV' On Behalf Of field has been defaulted to Jackie Read which is the logged in User:

In this scenario, the activity has been attributed to Jackie Read and is shown here on the KPIs:

Note: For all existing Client data, the 'attributed to' user has been set to be the same as the logged in user.

Assign Tasks to On Behalf of users

Users have the ability to control whether On Behalf Of users also get Tasks assigned to them when running activities that create tasks, such as Log a Phone Call.

This can be controlled by a setting called Always also assign Tasks to On Behalf Of users in the Administrator Profile -> Application Settings -> Default Settings page.

Note: Please contact your Adapt System Representative to set this option to ‘Yes’ if required.

When set to ‘Yes’, tasks will be assigned to the On Behalf Of user, as well as the current/logged in user.
